One workspace for every team on a launch

Guided project creation

Start from a brief — upload one to pre-fill it, or fill the seven sections by hand. Pick a template, set owners and dates — and if the schedule runs past the template, send the plan for approval before it goes live.

Reusable activity templates

Activity templates hold the activities, durations, dependencies and tasks, and point to the document-storage structure their files are filed under. Each project gets its own copy, so later template edits never disturb a live project.

A schedule that stays honest

Dates are calculated from dependencies. See the critical path, float and the original baseline next to today’s plan — and re-baseline only through an approval.

My Activities for every person

Each person sees only their own activities and tasks — uploads, checklists, field inputs and reviews — plus the documents and conversations of their projects.

Documents with a clear status

Documents are filed in the template’s folder structure, kept as versions, and move through a simple Uploaded → Checked → Approved trail. Team-level visibility decides who sees what.

Portfolio health at a glance

Every project is On track, Ahead, At risk, Behind schedule, Completed or Closed. Filter the list, spot delays early, and tag the right people in project conversations.

Introduction

Meet Srishti: Kapiva's tool for taking every new product from brief to launch.

Instead of ClickUp, email and Excel, briefs, plans, approvals, documents and progress now live in one place.

You enter the basics: durations, order and owners. Srishti works out every date, the critical path and the status.

Four roles share one flow. Let's follow a project from plan to launch.

1. Plan — the PM sets up the project

PMs start on Projects: every project and its health, at a glance.

New project opens a simple five-step setup. First, name the project.

Next, the brief. Upload one, and Srishti fills in what it can.

Pick a template. It brings the activities, durations and document folders.

Give every activity an owner. Srishti works out each date and the critical path.

If the plan runs longer than its template, an approver signs it off first.

2. Approve — approvers sign off

Approvers see everything waiting on them in Approvals & Alerts.

They see how far it runs over, then approve it, or send it back with a comment.

3. Do the work — members complete their tasks

Members start on My Activities: what's overdue, due today and due this week.

Each project lists their activities, and the tasks inside them.

Every task says exactly what it needs. Here, it's a checklist.

Mark the task complete, and the next team can start.

Documents are filed with each activity, and move from Uploaded to Checked to Approved.

Questions stay with the project. Tag the people who need to answer.

4. Track — everyone sees where things stand

Every project shows its status, launch forecast and current bottleneck.

The Gantt shows each activity against the agreed plan, with a line for today.

The agreed plan only changes through a re-baseline that an approver signs off.

Portfolio shows the health of every project: on track, ahead, at risk or behind.

5. Set up — admins keep it running

Admins add people, and decide what each person can see and do.

They keep templates ready too. Editing one never changes a live project.
