PM guide

PMs take a product from brief to launch: create the project, build its plan from a template, get it approved, and then keep dates, people, documents and conversations on track until the project is closed.

Projects, where a PM does most of their work.

What you will see

  • The Projects page opens with a portfolio-health strip and counts: On track, Ahead, At risk, Behind schedule, Completed / Closed and Pending approval.
  • Each row shows the project's type, start date, tasks, status, timeline, schedule deviation and forecast against baseline launch date.
  • Inside a project, the Gantt and the Activities table show today's dates with the baseline dates beside them, and mark the critical path.
  • Clicking an activity opens a side panel with Details, Tasks and Action log: one activity's dates, who it is assigned to, its tasks and its history. On a running project, its PM can also change the activity there.

First things to do

  1. Open Projects and check your project's health strip before anything else — it tells you where to look first.
  2. Start new work with + New project: name the project (you are its PM), then upload a brief to pre-fill it or fill the brief yourself.
  3. While you set up the schedule, give every activity that does the work a team, an owner from that team and at least one task (a parent activity takes these from its sub-activities), and set the right dependencies — a project cannot be created until they are all set.

Create a project

/projects/new

Project creation has five steps. Use Save & exit to leave at any point: the draft is kept, and only you see it, at the top of the Projects table (not the board, and not while a search or filter is on), until you continue it. A draft you never submitted can be deleted from that row; one an approver sent back cannot — revise it instead.

  1. Step 1 — Enter the project name; you are its PM. Upload a brief to pre-fill the next step, or start with a blank form. You can rename the project from the top of the page until it is created.
  2. Step 2 — Complete the brief. It has seven sections, and the mandatory fields must be filled before you can continue.
  3. Step 3 — Pick a template. All active templates are shown with their activity count and total duration. The template sets the activity list and the document folders.
  4. Step 4 — Configure the schedule: rename activities, change durations and predecessors, and add activities. Every activity that does the work needs a team, an owner from that team and at least one task (a parent activity takes these from its sub-activities). Set Activity 1's start date, then Calculate schedule, and calculate again after any change.
  5. Step 5 — Choose one to three baseline approvers. If the schedule runs past the template's duration the project goes to them for approval; otherwise it is created directly.
  6. If it goes for approval, every named approver is notified and any one of them can approve it, which makes the project active. A first rejection marks your draft Changes needed, with the approver's comment: choose Make changes, change any step and Resubmit for approval (changing the approvers is optional). If it is now within the template it is created straight away; if it is still over, a second rejection cancels the project.

Follow and change a live project

/projects/<uuid>

The project page is where the PM follows the plan and keeps it current. Dates are calculated from dependencies, so the status and forecast follow from them.

  1. Read the Overview for the project's status, forecast launch date and deviation from baseline. Status is calculated by the system — you cannot set it by hand.
  2. Click an activity to open its side panel: dates next to the baseline, who it is assigned to, its tasks and its Action log.
  3. While the project is running you can change the plan without a new baseline. In the side panel, Edit an activity's duration, owner or predecessors, Mark it as done, or Delete it. Add one with + Add activity under the Activities table: a team, an owner and at least one task. Later dates are recalculated; the baseline does not move.
  4. If someone leaves, their unfinished activities show under Needs reassignment on the Overview. Open each one and pick a new person under Assigned to.
  5. Use the Documents tab for everything uploaded against the project, and the Conversations tab to talk to the people on it.

Change the baseline or close the project

/projects/<uuid>

The baseline is the plan everyone agreed to. It only changes through a new-baseline draft that an approver decides on.

  1. Open Actions → Create new baseline. Keep or change the suggested name and give a reason. In the Activities tab, change durations, or choose Edit in a Predecessor cell to pick what an activity waits for (with a lag for each). Owners are not part of a re-baseline: change one in the activity's side panel on the running project. Completed activities stay locked, and Save & exit keeps the draft for later.
  2. Choose Submit for approval. One of the named baseline approvers approves or rejects it, and a rejection comes back with their comment. Approving it saves a new baseline and sets the deviation back to zero.
  3. To end a project, open Actions → Close project, choose a reason (for example delivered, cancelled or on hold) and add an optional comment. Closing cannot be undone: nothing more can be edited, completed or uploaded, but everything stays viewable. Closing is the only way a project becomes Closed.

Guardrails

  • Project status and dates are calculated, not typed in. Fix the cause — a duration, an owner, a dependency — and the status follows.
  • The baseline only changes through an approved new baseline. Your live changes move the current dates, so a late activity still shows as a deviation instead of disappearing.
  • Editing a template never changes a project that already started from it.

When to hand the work off

  • When an activity is late, talk to its owner in the project's Conversations tab and tag them, rather than waiting for the deviation to grow.
  • Approvals go to the approvers you named in step 5 — if a decision is slow, ask them directly.
  • Ask an Admin if someone is missing from an activity's owner list — it usually means their team or access needs fixing.
