Create a new baseline
Change the plan everyone agreed to: build a re-baseline draft, submit it, and let one of the project's baseline approvers decide.
- PM
The baseline is the approved plan a project is measured against. Your everyday changes move the current dates but never the baseline, so a slip stays visible as a deviation. When the plan itself has to change, for example because a supplier needs three more weeks, you create a new baseline.
A new baseline starts as a draft that only you can edit. Your live project is untouched while you work on it. It takes effect only when one of the project's baseline approvers approves it.
Before you start
- You must be the project's PM. Nobody else can start a re-baseline.
- The project must be running. You cannot re-baseline a project that is waiting for creation approval or is closed.
- One draft at a time. A project can have only one re-baseline draft that is open or waiting for approval.
- Know your reason. The reason is required and the approvers read it first.
- The approvers are already set. They are the baseline approvers you named when you created the project.
Start a draft
Opens the Gantt tab. After an approval you can compare baselines there.
The project's history, including each re-baseline created, submitted and decided.
The PM's menu. It is hidden while you are editing a re-baseline draft.
Starts a re-baseline draft.
Ends the project for good. See Close a project.
- Open Actions and choose Create new baseline. The Start a re-baseline draft window opens.
- Keep or change the Draft name. It is suggested from the next baseline number and today's date, for example BL1 — 24 Oct 2026.
- Write the Reason. Say what changed and why, in words the approver can act on.
- Choose Create draft. The page switches to the draft: a banner reads Editing draft baseline … and the Activities tab opens. The other tabs and the top buttons are locked until you leave the draft.
Change the plan in the draft
In the draft, two columns of the Activities table can be edited: Duration and Predecessor. Who owns an activity is not part of a re-baseline; change an owner on the running project, in the activity's side panel. Each edit is saved to the draft as soon as you make it, and the banner counts the activities changed.
- Duration
- Type the new number of days. A parent's duration comes from its sub-activities, so change a sub-activity instead.
- Predecessor
- Choose Edit in the cell. Pick each activity it waits for from the dropdown, set a lag in days if it should wait after that activity finishes, and use + Add predecessor for more than one. Remove a line with ✕, then choose Save to draft. The cell shows the result, for example
1 FS, 2 FS+2.
Completed activities are locked. Setting a value back to what the live project has removes that change from the draft. After each change the Start and End columns show the dates the draft produces (underlined where they differ from the live plan; hover to see the live date), and the banner shows the forecast launch before and after.
- Choose Save & exit to stop for now. The live page comes back with a banner, Re-baseline draft “…” in progress, and Resume editing takes you back into the draft.
- Or choose Discard draft to throw it away. Confirm Discard draft. Your live project is untouched.
Submit for approval
- Choose Submit for approval on the banner. The button stays off until the draft has at least one change. A draft whose predecessor changes would create a loop is refused.
- Wait for the decision. The banner reads Re-baseline “…” submitted — awaiting baseline approver sign-off. The draft can no longer be edited.
Each of the project's baseline approvers is notified, and any one of them can decide. There is one round only: approve or reject. You cannot approve your own draft, even if you are one of the named approvers, but you can reject it to withdraw it. If you are the only active approver named, submitting is refused, because nobody could approve it. A project's approvers cannot be changed in the app after it is created, so ask your Srishti admin.
What happens next
| Outcome | What changes |
|---|---|
| Approved | The changes are applied, the whole schedule is recalculated, and the result is saved as the new baseline (BL1, BL2 and so on). Schedule deviation goes back to zero. |
| Rejected | The draft is discarded with the approver's comment. The live project is unchanged. Start a new draft if you still need one. |
- You are notified of the decision, with the approver's comment.
- The project's Activity log records the draft being created, submitted and decided.
- On the Gantt tab, Compare baseline lets you set the plan against any earlier baseline.
What can go wrong
| Problem | Why | What to do |
|---|---|---|
| No Actions menu | You are not the project's PM, the project is closed, or you are inside a draft. | Ask the PM. Inside a draft, use the banner's buttons. |
| This project already has an open re-baseline draft. | A draft is open or waiting for approval. | Resume it, discard it, or wait for its decision. |
| A live change disappeared after approval | Approval applies the draft's durations and predecessors over whatever the live plan had for those activities. | Avoid live edits to activities that are in a waiting draft, or make them again after approval. |
