Workflows
Run a live project
Follow a running project day to day and keep its plan current: change an activity's duration, owner or predecessors, mark it done, delete it, or add new work.
- PM
Once a project is created, its page is where you follow it and keep the plan true to what is happening. As its PM you change the plan directly: no approval is needed, and the schedule is recalculated after every change.
These changes move today's dates, never the baseline. A late activity still shows as a deviation from the plan everyone agreed to. To change the baseline itself, see Create a new baseline.
Before you start
- You must be the project's PM. Others who can open the project see the same page without the edit controls.
- The project must be running. The controls are not offered while a project waits for creation approval, once it is closed, or once every activity is done and it is waiting to be closed.
- No re-baseline draft open for editing. While you edit a new-baseline draft, the page is locked to that draft. Choose Save & exit on its banner to get the live controls back.
Follow the project day to day
Open the project from Projects. The Overview tab answers the daily questions: is it on track, what is at risk, and what needs action now.
Worked out from dates and dependencies. You cannot set it by hand; fix the cause and it follows.
Days ahead (+) or behind (−) the current baseline. 0d means on baseline.
The launch date everyone agreed to, next to the date the plan now forecasts.
Days elapsed against planned, deviation, open and overdue tasks, and progress.
Overview, Activities, Gantt, Documents, Conversations and Team.
Overall status, days against baseline, % complete, days to launch and open tasks.
The critical-path activity most at risk, with its baseline end next to its current end, and what comes next on the path.
Everyone with work on the project and how many tasks each has open.
Further down, Needs action now lists tasks that are overdue or due this week, and View all → opens the Activities tab. If an owner has left, a Needs reassignment card appears (see below).
Click it to open the side panel with Details, Tasks and Action log.
An activity with sub-activities opens on the first click; click again for its panel.
Not started, In progress, Complete, Near critical, Critical, Delayed or Ahead, worked out from dates and tasks.
No float: the activity is on the critical path. Other rows show how many days they can slip.
Change an activity's duration, owner or predecessors
- Open the activity. Click its row on Activities (or its bar on Gantt). The Details tab shows its dates next to the baseline dates, and a section headed Edit activity (PM only).
- Change the duration. Type the new number of days in Duration (days) and choose Save. A parent's duration comes from its sub-activities; change a sub-activity instead.
- Change the owner. Pick one person under Assigned to and choose Save. The list shows the active people of the activity's team. An activity with no team asks you to Choose a team… first; a team that is already set cannot be changed here.
- Change the predecessors. Pick the activities this one waits for, with a lag in days, and choose Save predecessors. Dependencies are finish-to-start (FS) only. Activity 1 starts the project and takes no predecessor.
Each save recalculates every later date, the float and the critical path at once. There is no Calculate button on a running project. A change that would create a circular dependency is refused and nothing is saved.
Reassign work when someone leaves
When a person is removed from Srishti, their unfinished activities are not moved to anyone. The project's Overview shows them in a Needs reassignment card, each marked Assigned to … (no longer active) with its due date. Done activities are not listed; they keep their history.
- Open each listed activity from the Activities tab. Its panel shows Assignee no longer active — choose a new owner.
- Pick the new owner under Assigned to and choose Save. The card clears once every listed activity has an active owner.
Mark an activity as done, or delete it
The side panel's footer has Mark as done and Delete. A completed activity shows ✓ Completed instead: it can no longer be edited, marked done or deleted.
- Mark as done. Use it when the work is finished outside Srishti, or is no longer needed. The dialog lists what is still open: mandatory tasks, an unfinished predecessor, and any open sub-activities, which are marked done with it. Pick a Reason (for example Completed offline — documentation follows), add an optional Comment, and confirm Mark as done.
- Delete. The dialog says what goes: the activity and any sub-activities. Documents already uploaded are kept, read-only, labelled (from deleted activity: …). Confirm Delete.
- Choose replacements if asked. If other activities wait for the one you delete, choose for each what it waits for instead (another activity, or No predecessor), then Delete and update them. If tasks elsewhere review its documents or send rejections back to it, a second step asks you to Delete anyway.
Add an activity
- Choose + Add activity under the Activities table. An editable row opens at the bottom.
- Fill in the row. Give it a name, the Days it takes, one predecessor (or No predecessor), a team, and one person from that team under Assign to….
- Add its tasks. Choose + Add tasks and add at least one task, up to 50, in the panel that opens, the same way as in the creation wizard.
- Choose ✓ Add activity. Or press Enter; Cancel or Escape throws the row away. The side panel opens for the new activity, where you can add more predecessors.
An added activity has no baseline dates: its panel shows No baseline (added after creation). A project can hold at most 100 activities, sub-activities included.
What happens next
- Dates follow at once. Later activities, the forecast launch, the status and the deviation update on every tab.
- The baseline stays. Baseline dates and the baseline launch never move with a live change, so slipping work still shows as a deviation.
- A new owner is told. The person you assign, or put on an added activity, is notified and finds it on My Activities. Nobody is told about an assignment to themselves.
- It is recorded. Each change is written to the activity's Action log, for example Duration changed from 20d to 25d. An added activity is also noted in the project's Activity log (top of the page).
- When nothing is left open, the plan can no longer be edited. Close the project from Actions; see Close a project.
What can go wrong
| Problem | Why | What to do |
|---|---|---|
| No Edit activity section or footer buttons | You are not the PM, the project is not running, the activity is complete, or a re-baseline draft is open for editing. | Check the project's status. For a draft, choose Save & exit on its banner. |
| Not saved with A completed activity cannot be edited. | Finished work is locked. | Leave it as it is. Change the activities that are still open. |
| Circular dependency: … | The predecessors you picked would make activities wait for each other. | Remove one of the links named in the message. |
| This project has reached the maximum of 100 activities. | The plan is at its limit. | Delete or combine activities before adding more. |
| A person is missing from Assigned to | Only active members of the activity's team are listed. | Ask an Admin to check the person's team and status in User Management. |
