Core concepts
Notifications, reminders and escalations
Where notifications appear, which ones also go to Slack and email, the daily schedule of due-date reminders and escalations to a person's L1 and L2, and the Daily Digest email.
- Everyone
Srishti tells you when something needs you: a new activity, an approval waiting on you, a tag in a conversation, or work that is about to be late. Every notification appears in the app. Some also go to Slack, email or both.
When an activity is due or overdue, Srishti does not only remind its owner. It escalates to the people set as the owner's escalation contacts, so a slipping activity is seen before it moves the launch date.
Where notifications appear
Notifications sits at the bottom of the left menu, with a red count of your unread notifications. Click it to open a window with your latest ten.
Always at the bottom of the menu. The number is how many notifications you have not read.
What happened, the project it is about and when, in IST. A dot marks an unread one.
Marks this one read and lowers the count. Read ones say Read instead.
Opens the full list, with links to what each notification is about.
The full list is the Notifications part of Approvals & Alerts. Switch between All and Unread, mark one read with Mark read, or all of them with Mark all read. It shows 20 at a time; Load more shows older ones.
Most notifications there link to what they are about: Open in My Activities for anything about an activity, Open project, Open draft, Open approvals or Open thread. When the activity is not on your own list (it is someone else's, already complete, or not scheduled yet), My Activities says why. If it is waiting for your decision you get decide in Approvals & Alerts, and if you can open Projects you get Open it in the project. Some have no link: one about something you may not be allowed to open shows only a short, general text, and a few kinds have nothing to open.
What you are told about
| Notification | Who gets it | Also sent to |
|---|---|---|
| You have a new activity | The person an activity is assigned to (not someone who assigned it to themselves) | Slack |
| … is now ready | An activity's owners, when the activities it waited for are done | Slack |
| A project needs your approval; for activities, Approval pending · … or Gate review pending · … | The named approvers of a new project over its template, or of an activity approval | Slack and email |
| Re-baseline draft awaiting your approval | The project's baseline approvers, except the PM who submitted it | Slack and email |
| Decision made (Your project was approved, … was rejected and so on) | The person who submitted it; for an activity approval, the activity's owners | Slack |
| Due today, Overdue by 4 days | The owner's escalation contacts (see below) | Slack and email |
| … tagged you in … | Each person tagged in a conversation | |
| Due in 2 days | The activity's owner | Nothing: in the app only |
| … was rejected (a review task) | The owners of every reopened activity, and the PM | Nothing: in the app only |
| Project target launch date changed | The PM | Nothing: in the app only |
| Approval pending for over 24 hours | The approver's escalation level 1 | Nothing: in the app only |
Separately, once a day, the Daily Digest email recaps your open work. It is not a notification and does not appear in the app.
Email is kept for what blocks someone else's work, for escalations and for tags. Everything else that leaves the app goes to Slack only, so your inbox does not fill with routine notices. Slack messages and emails go to the email address on your Srishti account.
If a Slack message or email could not be sent, the notification on Approvals & Alerts says Couldn’t be sent to Slack or email. The notification in the app is there either way.
Reminders and escalations
Every morning at 6:00 AM IST, Srishti looks at each unfinished activity with an owner on a running project and compares today with its due date.
| When | Who is told | Notification | Sent to |
|---|---|---|---|
| 2 days before the due date | The activity's owner | Due in 2 days | The app only |
| On the due date | The owner's Escalation level 1 (L1) | Due today | The app, Slack and email |
| 4 days after the due date | The owner's Escalation level 2 (L2). If they have none, their L1's own L1. | Overdue by 4 days | The app, Slack and email |
- “Unfinished” means not started yet, in progress, submitted or under review. An activity waiting for an approval is covered by the approval reminder instead. See Approvals.
- Each reminder is sent once for a due date. If the due date moves, the reminders start again for the new date.
- If the morning check does not run one day, the due-date and four-day escalations are still sent for up to two days afterwards.
- Closed, cancelled and draft projects are not checked.
- An escalation contact who has been removed from Srishti is skipped. For level 2, Srishti then falls back to the L1's own L1.
Escalation contacts are set per person in User Management: Escalation level 1 and, optionally, Escalation level 2. Both must be people with the Approver flag. See Users, teams and escalation chains.
What an empty L1 means
A person with no Escalation level 1 is at the top of the chain. User Management shows them as — (top of chain).
- Their Due today escalation goes to nobody. Nothing is written, so nobody sees it.
- Their Overdue by 4 days escalation goes to their L2 if they have one, and otherwise to nobody, because there is no L1 whose own L1 could take it.
- Their own Due in 2 days reminder still reaches them.
- If they approve activities, an approval they leave waiting has nobody to remind.
The Daily Digest email
Every morning at 9:30 AM IST, Srishti sends one email to each person who has something to chase. It recaps what is still open for them across all their projects. It goes by email only: nothing is added to Approvals & Alerts and nothing goes to Slack.
When it is sent
- You get it only when at least one of these is true: an activity of yours is overdue, one is due today or tomorrow, or a thread that tags you still needs your reply.
- Activities due in 2 to 7 days never send it on their own, but they are listed when it goes out anyway.
- With nothing to chase, no email comes that day.
- It lists the same activities as your My Activities page: anything assigned to you that is not finished and is overdue or due within the next 7 days, including work still waiting on another activity or an approver. Closed, cancelled and draft projects are left out.
- At most one a day. If the 9:30 run is more than 6 hours late, that day's digest is skipped rather than sent late.
What it contains
- Subject
NPD |and the counts that sent it, for exampleNPD | 2 overdue, 1 due today, 3 tagged threads. Counts of zero are left out.- Overdue
- Most overdue first, with how many days late, a critical-path flag, and how many other activities are waiting on it.
- Due soon
- Due today up to 7 days ahead, with the same critical-path flag.
- Tagged threads
- Each thread still waiting on your reply, with its project and who tagged you. The bell on My Activities is still how you hear about a tag at the time.
A section appears only when it has something in it, and shows up to 25 rows, then a link to see the rest in My Activities. An activity opens in My Activities, a thread opens the thread, and projects are named but not linked.
