Complete your tasks

Find the work assigned to you on My Activities, finish each task (documents, checklists, fields and reviews), and ask questions in Conversations.

  • Member

Every activity assigned to you is made of tasks: upload a document, tick a checklist, fill in some fields, or check or approve someone else's document. You finish them on My Activities, the page you land on when you sign in.

When you finish the last required task, the activity completes on its own and the next team can start. You never set an activity's status yourself.

Before you start

  • Access. Everyone has My Activities at Action level, so you need nothing extra.
  • An activity assigned to you. Only the people assigned to an activity, and the project's PM, can complete its tasks.
  • An open activity. You can work on an activity once every activity before it is finished. Until then its tasks can be opened but not completed.
My Activities with one project open.
  1. How many of your open activities fall in each. Start with Overdue.

  2. Threads that need your reply or that you have not opened. Pick one to open it.

  3. One card per project you work on. Click its name to open or close it. Badges such as 1 thread tagged flag conversations.

  4. Your activities on this project, the project's documents, and its threads.

  5. Its status, such as Delayed, and chips such as Critical path come from the dates and tasks.

  6. Click a task to open it and finish it.

Find your work and finish a task

  1. Check the tiles. Overdue counts activities past their planned end, Due today those ending today, and Due this week those ending in the next seven days.
  2. Open a project card. Click the project's name. The Activities tab lists only your own activities, under ACTIVE NOW (already started) and UPCOMING (not started yet). A parent activity lists its sub-activities, each with its own tasks. Finished activities drop off the list.
  3. Open a task. Click the task. A panel opens with the task, its project and its activity. A finished task shows Done and cannot be opened again.
  4. Do the work. What you do depends on the task type (see the table below). Items marked * are required.
  5. Save progress, if you need to stop. On a checklist or field task, Save progress keeps what you have done and leaves the task open.
  6. Choose Mark task complete. It stays unavailable until every required item is done. A completed task cannot be changed.

Upload documents

  1. Open the Document Upload task. Each document is listed by name, with the folder it is filed under.
  2. Choose a file for each document. The upload starts at once. When it lands, the document reads Uploaded ✓ with the file name and its version, for example V1.
  3. Check it. View opens the file. Picked the wrong one? Remove takes it back so you can upload another, until you mark the task complete.
  4. Choose Mark task complete. This completes the task. After this the files can no longer be removed.

Srishti accepts PDF, Word, Excel, PowerPoint, CSV, JPG, PNG and WebP files.

When a document is rejected

If a reviewer rejects your document, the task row reads Rejected — upload again. Open it: the document shows Rejected, with the reviewer's comment, and asks for a corrected file. Upload it; it becomes the next version (V2, then V3). The rejected versions are kept as history.

The Docs tab

The Docs tab on a project card (the tab label shows how many) lists every document you are allowed to see on that project, with the activity it belongs to (number and name), who acted on it last and when, and its status: Not yet uploaded, Uploaded, Checked, Approved, Rejected (check) or Rejected (approval). Documents that need action come first. Click an uploaded document to preview it (view only).

Check or approve a document

A Check / Reject or Approve / Reject task asks you to review documents another activity uploaded. When a document has both, it is checked first and approved after.

  1. Open the review task. DOCUMENTS TO CHECK (or DOCUMENTS TO APPROVE) lists each document with the activity that uploaded it, the file name and the version.
  2. Read each document. Choose View to open it.
  3. Wait if a document is not ready. A note under the document says why, for example Waiting for the document to be uploaded. or Waiting for it to be checked first. The buttons stay off until every document is ready for you.
  4. Pass it. Choose Check (on a Check / Reject task) or Approve. The comment is optional.
  5. Or reject it. Write a Comment; a rejection needs one. If the task shows Send back to (on reject), pick the activity to send the work back to: the one that uploaded the document, or an earlier one. Then choose Reject.

A rejection marks the documents rejected and reopens the activity the work goes back to, and every activity that depends on it, so the document can be uploaded again and reviewed again.

Ask and answer in Conversations

  1. Open the Conversations tab. Threads are grouped NEEDS YOUR REPLY, UNREAD and READ.
  2. Reply to a thread. Open it, type in Reply…, and choose Reply. Use Tag people to tag someone in your reply.
  3. Or start one. Choose + New thread. Fill in Thread title and First message, pick the activity under About an activity (optional) or leave The project as a whole, tag the people who must answer, and choose Start thread.

A thread needs your reply when you are tagged in it and the last message is not yours. The conversations bell at the top of My Activities counts these and the threads you have not opened, across all your projects.
