Approver guide
Approvers make the decisions that move work forward: approving a project's plan when it overruns the template, approving a baseline change, and approving or rejecting reviewed activities. Your job is a clear yes or no, with a reason when it is a no.

What you will see
- Approvals & Alerts has three parts: Approvals awaiting you (new projects and re-baselines), Pending Approvals (activity approvals, oldest due first) and Notifications.
- Click a row under Approvals awaiting you to open its review: the project, who submitted it, their reason and comment, and the approvers it was sent to.
- A new project shows how many days it runs over its template (for example +16d) and which round it is in. A re-baseline lists every change, old → new, marks the critical-path activities and shows what happens to the forecast launch date.
- Each notification links to the thing it is about — an activity, a project or a conversation — so you can open it in one click.
First things to do
- Open Approvals & Alerts and start with Approvals awaiting you — a project or re-baseline waiting there holds up the PM.
- Read the reason, the submitter's comment and the numbers before you decide.
- If you request changes or reject, write a clear comment. It is required, because the next person has to act on it.

Decide a new project that runs over its template
/inbox
When a new project's schedule is longer than its template allows, it waits for the approvers the PM named. There are up to two rounds, and one approver's approval is enough.
- Open the project under Approvals awaiting you and compare the days the template allows with the days submitted.
- Round 1: choose Approve, or Request changes with a comment — the draft goes back to the PM, who edits and resubmits it.
- Round 2 (only if it is still over): choose Approve or Reject. A rejection needs a comment and cancels the project.
Decide a re-baseline
/inbox
A baseline is the agreed plan. A PM changes it only by submitting a new-baseline draft, and you decide it in one round. The PM who submitted it cannot approve their own draft.
- Open the Re-baseline row under Approvals awaiting you.
- Read the PM's reason and each change (old → new, with critical-path activities marked), and what happens to the forecast launch date.
- Approve to put it live. The changed durations and predecessors recalculate the schedule and save a new baseline, with the deviation back to zero. Or reject with a comment to discard the draft.
Approve or reject an activity approval
/inbox
Some activities need a sign-off before the work can move on. If you are a named approver, your decision is what moves it forward — or sends it back.
- Open Pending Approvals. Each row shows the activity, its project, the due date and — when the approval has more than one level — which level it is at. Click the activity's name to see its details and documents first.
- Choose Approve or Reject right in the row. Reject asks for a reason.
- If the template configured a rejection route, a rejection sends the work back through it.
Guardrails
- You only decide what is addressed to you. Being able to open a project does not make you its approver.
- Read before you click. Each decision is recorded with your name and the time, and with your comment or reason when you give one.
- Approving a project or a re-baseline is a business decision about the plan — it is not a check of every detail inside it.
When to hand the work off
- If you need a change before you can approve a new project, use Request changes in round 1 with a specific comment — the PM can fix it and resubmit.
- For a question about a single activity, tag its owner in the project's Conversations tab instead of rejecting.
- If an approval keeps reaching the wrong person, ask an Admin to check the approver settings.
