Core concepts
The Portfolio dashboard
The read-only dashboard of every active project: what counts as active, the KPI cards and scope line, the charts, the health map, the project table and launch timeline, and how clicking a chart filters the table.
- Admin
- PM
- Approver
Portfolio shows the health of every active project at once, so you can see where the portfolio stands and which projects need help without opening each one. Everything on it comes from the same figures as the project list: a project's status, progress, deviation and dates are identical on both pages.
The dashboard is for looking, not changing. To act on a project, click it to open its page.
Who can open it, and what it counts
Portfolio is in the left menu for anyone with Portfolio: View. Which projects it covers follows your Projects access: with Projects: View or Action you see every project; with Projects: None only the projects you are PM of. See Page access.
The dashboard counts only active projects: those that are On track, Ahead, At risk or Behind schedule, which is the set the four status cards of the project list count, a project that starts in the future included. The one exception is a project with no start date: the project list counts it, but it cannot be placed on the timeline, so the dashboard leaves it out and says so in the line under the cards. Completed, closed and pending-approval projects are left out. The subtitle gives the date the figures are for, for example "Active projects as of 15 Sep 2026".
KPI cards and the scope line
Opens Projects filtered to completed and closed projects.
Active projects, then how many are On track, Ahead, At risk and Behind schedule, each as a share of active.
How the active count relates to the project list, and what is not counted here.
Active projects in four bands of % complete.
How far ahead or behind each project is, as a share of its planned length.
Each status card can carry a small badge comparing its count with last month, such as "↑ 2 this month" or "= last month". The badges appear only for people who see every project, and only once a month's figures have been stored.
The scope line below the cards reconciles the two pages, for example "20 active of 22 in Projects List · not counted here: 1 completed · 1 pending approval". The total links to the project list, and the completed, closed and pending-approval parts link to it filtered to that status.
The charts
- # Projects | By % Complete
- A ring split into 0–25%, 26–50%, 51–75% and 76–100% complete. A project with no mandatory activity yet is left out and noted under the chart.
- Delay Spread
- Five bars: 10%+ behind, 1–10% behind, On time, 1–10% ahead and 10%+ ahead. The percentage is the schedule deviation divided by the project's planned length (start to baseline launch). On time means exactly 0d. A project with no baseline yet is left out and noted.
- # Projects | By Type
- A ring split by project type: Innovation A and B, Renovation A and B, White Label and Hybrid.
- Portfolio Health Map
- One bubble per project: across, % complete; up, schedule deviation, with a dashed On baseline line at 0d. Size is the project's length, colour its status, and ▲ marks Ahead. Nearby projects merge into a numbered ring. Hover for detail; click a bubble to open the project.
- # Projects | By Type & Status
- A table of types against On track, Ahead, At risk and Behind, with totals. It shows which types are under pressure.
All Projects and the Launch Timeline
All Projects lists every active project with its Type, PM, Progress, Schedule deviation, Bottleneck, Launch date and Status. Click a heading to sort and a row to open the project. Above it you can filter by status, Type, Delay and Progress, and search by project, PM or type.
Bottleneck names the activity holding the project back: one running past its planned end right now, or otherwise the one that overran most. Hover it for the days late.
The Launch Timeline draws each project as a bar from start to forecast launch, with a circle on the launch date, coloured by status. Switch the view between Next 12 months, Next 18 months and All projects.
Click to filter
Most of the dashboard is clickable. A click narrows the All Projects table and scrolls down to it:
- A status card shows only that status; click it again, or Active projects, to show all.
- A ring segment or its legend row filters by that % complete band or type.
- A Delay Spread bar filters by that delay band.
- A cell of By Type & Status filters by both; click the same cell again to clear both.
A banner at the top lists what is filtered, with Clear filter ✕. The charts themselves always count every active project; only the table narrows, and bubbles on the health map that do not match fade.
Completed and closed projects
Finished projects are not on the dashboard. View completed & closed → at the top right opens Projects filtered to Completed and Closed, where every finished project stays readable. How each status is worked out is on Projects and project health.
